Overview
Fleet Maintenance Pro includes over 100 built-in reports that detail all aspects of your equipment data.
The easiest way to access the reports is to click the Reports button on the top menu.
Any reports designated as 'Common Reports' will show up first. You can modify these under Setup and User Preferences.
Clicking on Charts will bring up some built-in charts you can use for cost analysis.
Clicking on View All Reports will give you a list of all reports available in the software, organized into different categories.
Common Reports
When clicking Reports on the top menu you are presented with a list of Common Reports.
This list can be customized to fit your reporting needs. To do so, click the Setup button on the top menu and choose User Preferences.
Use the drop down boxes on the bottom right to change the reports used for Report 1, Report 2, etc.
If you wish to make a line empty (with no report in it) click the drop down and scroll all the way down until you see the blank line, then click on it.
Press OK to save the changes. You will need to close and re-open the program to refresh the Report list.
View All Reports
Clicking on View All Reports will bring you to this screen.
On the left hand side you will have a hierarchy of report categories and report templates to choose from. Click the + sign to the left of category names to show more reports underneath.
Clicking on any report name on the left will show a report preview on the right side.
Filtering Options
You can use the drop down boxes on the top of the preview to filter the report. The drop down options will vary based on the report template and type of data being viewed. In this example we are previewing the equipment list and can filter by equipment location.
Printing Reports
On the row of icons directly above the report preview you will see a printer icon. Click on this to bring up the print dialog box.
Here you can specify which printer you want to save the report to. Press OK to print the report.
Exporting Reports To File
You may wish to save a report to file in order to email it as an attachment, or to save it for your own records. You can export reports to multiple different file types.
First, you will need to choose a report to run. Click Reports on the top. Choose from one of the common reports already listed or click View All Reports.
Choose the report you wish to save so that it appears in the Preview screen on the right side.
On the top left of the preview click the Printer icon.
Within the Print dialog box, check the option Print To File on the bottom left.
Choose the Type of file from the drop down box. In most cases you will be saving to PDF or XLS (Excel) format.
Click the button on the right with the three dots [...] to choose a file path to export to, and a file name.
Press OK to save the file.
Tip: Even though a printer is selected at the top of this screen, because you have 'Print to File' checked the report will be exported as a file and will not be sent to the printer.
